Gathered Getaways – Terms & Conditions

By completing a reservation with Gathered Getaways, the guest acknowledges and agrees to the following Terms & Conditions.

1. Reservations & Payment

A reservation is confirmed once the required initial payment has been received.

For reservations made more than 30 days before arrival, 50% of the total reservation amount is due at the time of booking, with the remaining 50% due 30 days prior to arrival.

Reservations made within 30 days of arrival require payment in full at the time of booking.

2. Cancellation & Refunds

Cancellations and refunds are governed by the Cancellation Policy displayed on our website and applicable to the reservation at the time of booking.

3. Minimum Age & Responsible Guest

The primary guest completing the reservation must be at least 25 years of age, unless otherwise approved in writing, and must remain at the property for the duration of the reservation.

The primary guest is responsible for the conduct of all members of the group and for ensuring compliance with these Terms & Conditions and all property rules.

4. Occupancy

The number of overnight guests may not exceed the maximum occupancy established for the reserved property. Only registered guests are permitted to stay overnight unless prior approval has been received.

Parties, events, or gatherings exceeding the property's permitted occupancy are prohibited unless specifically authorized in writing.

5. Property Rules

Guests agree to follow all house rules provided for the reserved property, including any applicable condominium, homeowners association, neighborhood, community, pool, parking, or other property-specific rules.

Violation of these rules may result in termination of the stay without refund when appropriate.

6. Smoking

All Gathered Getaways properties are non-smoking indoors. Smoking or vaping inside a property is prohibited.

Guests may be responsible for additional cleaning, deodorizing, or remediation costs resulting from violation of this policy.

7. Pets

Pet policies vary by property. Guests may bring pets only when the reserved property permits them and the pet has been included in the reservation or otherwise approved in advance.

Unauthorized pets may result in additional charges.

8. Damage & Excessive Cleaning

Guests are responsible for damage to the property, furnishings, equipment, or other contents caused by the guest or members of their party beyond normal wear and tear.

Guests may also be responsible for costs associated with missing items or cleaning required beyond what would reasonably be expected following a normal stay.

9. Check-In & Check-Out

Check-in and check-out times are provided with each reservation and may vary by property.

Early check-in or late check-out must be approved in advance. Unauthorized late departures may result in additional charges when they interfere with cleaning or an incoming reservation.

10. Property Access

Gathered Getaways respects the privacy of its guests. However, management or its authorized representatives may enter the property when reasonably necessary to address an emergency, protect the property, perform urgent maintenance or repairs, or respond to a condition requiring immediate attention.

Except in an emergency, reasonable efforts will be made to notify the guest before entry.

11. Maintenance & Unexpected Conditions

We make every reasonable effort to ensure that our properties, amenities, appliances, utilities, and equipment are available and functioning properly.

Occasionally, circumstances outside our control may result in temporary interruptions or equipment failures. Guests should promptly notify us of any issue so we have an opportunity to address it.

12. Amenities

Amenities vary by property and may include pools, grills, recreational equipment, waterfront areas, community facilities, games, or other features.

Guests use amenities and recreational equipment responsibly and at their own risk, subject to applicable law. Children must be appropriately supervised.

13. Parking

Guests must comply with the parking requirements for the reserved property. Vehicles may only be parked in authorized areas.

Gathered Getaways is not responsible for parking citations, towing, or other consequences resulting from a guest's failure to follow posted or provided parking rules.

14. Illegal or Prohibited Activity

Illegal activity and conduct that creates a nuisance, threatens the safety of others, or causes unreasonable disturbance to neighbors or the surrounding community are prohibited.

15. Personal Property

Guests are responsible for securing their personal belongings during their stay and when departing the property. Gathered Getaways is not responsible for lost, stolen, forgotten, or damaged personal property except as required by applicable law.

Guests should contact us promptly regarding items believed to have been left behind.

16. Weather & Travel Interruptions

Weather conditions, transportation delays, road conditions, flight cancellations, and other travel interruptions outside the control of Gathered Getaways do not automatically qualify a reservation for a refund outside the applicable Cancellation Policy.

Guests are encouraged to consider travel insurance for circumstances that could unexpectedly affect their trip.

17. Taxes & Fees

Applicable taxes and required fees will be disclosed during the booking process and added to the reservation as required by the jurisdiction in which the property is located.

18. Agreement to Terms

By completing a reservation, the primary guest confirms that they have reviewed and agree to these Terms & Conditions, the applicable Cancellation Policy, and the house rules associated with the reserved property.
